Managing evaluation questionnaires
When a session is completed, an evaluation questionnaire can be filled in by participants in order to give their feedback about the session.

Prerequisites:
- Trainee and trainer questionnaires must be created (see Evaluation).
- If you want to send dunning emails, dunning templates must be set up (see Creating a dunning template).
- If you want to send invitation emails, you must have created email templates with the Invitation to an assessment Rptdesign type (see Setting up report templates).

In order to send invitation and dunning emails, the EvaluationInvitation and EvaluationRelance batches must be set up.

| Trainer questionnaire template |
Enter the trainer questionnaire template relevant to the evaluation of the session. The list displays the questionnaire templates in which the Trainer option is checked. By default, the template entered automatically is the one for which the Trainer and Default options are checked in its record sheet. It can also be the only trainer template if there is only one. Important The questionnaire template cannot be modified if the invitation has been sent or if the participant has already completed the questionnaire. |

Enter the email template sent to participants so that they complete the questionnaire. Note You can click on |
| Time of day to send the email invitation |
Select the time at which the invitation emails are sent. If the field is not entered, the time taken into account is 00:00. Important Creating and setting up the EvaluationInvitation batch is necessary to send invitation emails. Without the EvaluationInvitation batch, the invitation email templates and the sending time for invitation emails entered do not have any effect. |

Enter the participant dunning template. The list displays dunning templates already created in Akuiteo. By default, the dunning template entered automatically is the one for which Default is checked in its record sheet. It can also be the only dunning template if there is only one. | Participant questionnaire |
Enter the participant questionnaire template relevant to the evaluation of the session. The list displays questionnaire templates in which Participant is checked. By default, the template entered automatically is the one for which the Participant and Default options are checked in its record sheet. It can also be the only participant template if there is only one. |
| Proposed date |
Select the date on which the evaluation period starts. By default, the date entered automatically is the session's end date. From this date, the evaluation questionnaire is available and participants and/or trainers can complete it. The State code cell displays In progress. Before this date, the questionnaire is not available and the State code cell displays Not open. |
| Alert sent to manager |
This column is related to the EvaluationAvertissement batch. If this column displays Yes, an alert was sent by the batch to the session manager and to people who have already modified the session, in order to inform them that some participants do not have any email address entered in their contact's record sheet and thus cannot receive the invitation email to complete the evaluation questionnaire. This column shows the date of the last dunning email sent by the EvaluationRelance batch. |
| Number of P questionnaires answered | This column shows the number of participants who have completed the evaluation questionnaire, compared to the total number of participants. |

This column shows the stage of the evaluation period:

| Paper only (participant) |
Check this box if participants complete their questionnaire only in paper format. If this box is checked, dunning emails are not sent to participants and the Number of P questionnaires answered stays at 0. |

The session and the evaluation information are saved.
To send invitation emails to trainers and participants so that they complete the evaluation questionnaire, it is necessary to:
- Enter the participant and trainer invitation email template on sessions (see Entering the evaluation information on a session).
- To set up and run the EvaluationInvitation batch, see EvaluationInvitation batch.
Prerequisite: The evaluation period must be in progress.

The questionnaire is validated.

- The evaluation period must be in progress.
- At least one report template of the Participant questionnaire and/or Respondent questionnaire type must be set up (see Setting up report templates).
You can publish the evaluation questionnaire in paper format so that respondents can complete it by hand.

The questionnaire is printed. Participants and the trainer can complete it by hand.
You can close an evaluation period so that participants and/or the trainer can no longer complete the questionnaire linked to the evaluation period.
The EvaluationRelance and EvaluationEnvoiSyntheseSessionPeriode batches can close an evaluation period.
An evaluation period can be closed:
- When the EvaluationRelance batch is run and the delay after the last dunning email sent entered in the dunning template has passed.
- When the batch is run and the delai set up in the batch after the evaluation date has passed.
- When the batch is run and all the participants have already completed the evaluation questionnaire, even if the trainer has not completed it yet.

An evaluation period can be closed manually.

The evaluation period is closed.
Prerequisites:
- Some people must have completed evaluation questionnaires.
- A report template with the Overview of a group of sessions, Assessment summary or Overview of assessments for a session type must be set up.
The evaluation overview is a PDF file that allows you to see the details and statistics related to evaluation questionnaires that participants and/or trainers completed.
