Setting up a training sold product

To create sales objects that contain training-related lines, you must create a sold product.

The sold product must then be linked to a sold product family and sub-family related to training.

Creating a sold product family

Go to Setup > General setup > Sales > Sold item families.

In the action bar, click on

Enter the information.

In the action bar, click on

The sold product family is created.

Creating a sold product sub-family

The sold product sub-family is the element inferior to the sold product family.

Prerequisite: A sold products family matching training type must be created.

Go to Setup > General setup > Sales > Sold item sub-families.

In the action bar, click on

In the Family field, select the training-related sold product family.

In the Type drop-down list, select Training.

Enter the other information.

The sold product sub-family is created.

Creating a sold product

Prerequisite: A sold products family and sub-family matching training type must be created.

You must create a training-related sold product in order to enter training lines in sales objects (quotations, orders, invoices, etc.).

Go to Management > Sales > Sold items.

In the Family and Sub-family fields, select the training-related family and sub-family.

The sold product is created. It can now be entered in lines of sales objects.

Creating a training action code

A code action is a code that applies to scheduled items in scheduled trainers' agendas. The training action code is then used to specify that the scheduled item to which the code is applied is related to training.

Note

To enable scheduling on a trainer, check Scheduled in the trainer's record sheet (see Creating a trainer).

Go to Setup > General setup > Resources and Labor > Actions.

Under the Type of action section, check Training.

The action code is created.

Setting up report templates

Report templates are used to define the appearance and structure of files published from Akuiteo.

Training report template setup can be accessed in Tools > Setup > Reports setup > Training.

The path to access the setup screen for report templates with the Printing of overview type in order to publish the BPF is different. This setup can be accessed in Tools > Setup > Reports setup > Shared.

Setting up automatic numbering

Courses and sessions both have a unique code that identifies them. It is possible to create a naming system applied to those codes for each creation of course or session.

It is also possible to set up automatic numbering for agreement numbers in registration files and for certificate numbers in participants.

Important

For automatic numbering to work, it is required to enter the automatic numbering type (ex: FCERT) in the Certificate field of the certificate report template.

Setup for automatic numbering on objects can be accessed in General setup > Company > Automatic management objects numbering. Then, the setup related to the Training module corresponds to the Session, Course, Certificate and Agreement management objects.
