Managing trainers

Trainers are people that present training sessions. It is necessary to create a trainer in order to link them to training sessions.

Field | Description |
---|---|
Title, Last name and First name |
Enter the trainer's identity. If the Linked employee field is entered, the Last name and First name fields are filled in automatically and cannot be modified. The Title field cannot be modified but remains empty. |
Linked employee |
If you want your trainer to be associated with an employee, enter the employee in this field. Otherwise, leave the field empty. If you enter the field, other fields are filled in automatically from the employee record sheet. Furthermore, the trainer record sheet will be linked to the employee. |
Email, Phone number and Fax |
Enter the trainer's contact details If the Linked employee field is entered, the Email and Phone number fields are filled in automatically and cannot be modified. The Fax field remains empty and can be modified. |
End date |
Enter the date on which the trainer will stop being a trainer. The trainer will still be entered in already created sessions but it will no longer possible to select them again when creating or modifying a session. |
Status |
Select the trainer's status. Reference To create and set up trainer status, see Creating a trainer status. |
Type | Enter the trainer's type. |
Scheduled |
Check this box if you want a scheduled item to be created automatically on the trainer's calendar for each session to which the trainer is linked. Important For scheduling to work, a training action code must be created (see Creating a training action code). If the trainer is not linked to an employee, they will not show by default on the schedule. Therefore it is necessary to enter an existing employee in the Linked employee field or to create an external employee in Edit > New linked external employee. |

Technical field | Select one or more technical fields at which the trainer is skilled. |
Technical sub-field |
Select one or more technical sub-fields at which the trainer is skilled. The list contains technical sub-fields corresponding to the technical field entered. |
Language |
Select one or more languages that the trainer knows well. When you select a language, it is added to the table. To delete languages, click on a language in the table and press Delete. |
Skill | Add a comment about the trainer's skills. |
5 | Under the Association section, enter the information: |

Enter the supplier linked to the trainer. |
Manager |
Enter one or more managers associated with the supplier. The list displays active and generic employees. When you select a manager, they are added in the table. To delete a manager, click on them and click on |

The trainer is created. It is possible to associate them with training sessions.

Prerequisite: Schedule items must be created for the trainer (see Creating a scheduled item from the session).
1 | Go to People > Resources (Employees and Subcontractors) and start a search. |
2 | In the search results, select the line of the employee linked to the desired trainer then click on |
3 | Select the period to take into account and possibly the project to take into account. |
4 | Click on Validate. |
The trainer's schedule is displayed.

From a trainer recordsheet, available from Training > Trainers, the Session tab allows to view sessions list on which the trainer is specified.
A period can be specified to filter sessions according to the date. Then, click on to apply the filter and update the list.
When you are on modification mode, a line can be deleted by selecting it and clicking on ; The trainer is not longer specified as trainer on the associated session.
A session can be opened by double-clicking on it from the list.

Prerequisite: Custom data must be created (see Custom data).
Custom data can be modified on multiple objects or third parties at once.
1 | Start a search and select the results to modify. |
2 | Right-click on the selection and click on Edit custom data. |
The Modify custom data window opens.
3 | Check the custom data to modify and enter the new value for each checked element. |
4 | Click on Validate. |
Custom data are modified in the selected management objects.

Important
Deleting a trainer cannot be reversed.
Deleting a trainer is impossible if they are linked to one or more sessions.
From the trainer's record sheet, click on in the action bar and confirm the deletion.
