The management screen of quotations can be accessed from the Sales Portal in the Sales > Quotations menu.

A quotation can be created:

1 | From the search screen of the Quotations menu, click on + New on the right of the screen. |

Customer |
Specify the main customer of the quotation. The help list is displayed after typing at least 3 characters. It displays customers and prospects in the company of the quotation and open on the object date. Note Blocking rules can be defined from the customer record sheet in order to restrict creating and modifying objects on this customer. For more information, refer to Setting up blocking rules. |
Customer to be billed |
If the customer to bill is different from the main customer, specify the customer to bill. The help list is displayed after typing at least 3 characters. It displays customers that have a Tiers facture business link with the specified Customer. If there is a default ordering customer / customer to bill management link set up on the main Customer's record sheet, the linked customer to bill is specified by default. To modify the customer to bill on a quotation that is already saved, refer to Modifying the customer to bill. |
Internal number |
Specify the internal number of the quotation. If you leave this field empty, the number will be determined automatically based on the setup of automatic numbering of objects defined in the Desktop Application > Tools > Setup > General setup > Company > Automatic management objects numbering. |
Journal |
Specify the sales journal of the quotation. The help list displays sales journals that meet the following conditions:
The journal can be specified by default based on the following priority rules:

Specify the date of the quotation. The current date is specified by default. |
Object label | Specify the label of the quotation. |
Entity |
Specify the entity of the quotation. The help list displays entities at the company. |
Pricing method |
Specify the pricing method of the quotation. The pricing method allows you to select customer and base rates set up for that pricing method. The help list displays pricing methods on the company of the quotation and on the ***** company. |
Currency |
Specify the currency of the quotation. By default, the currency specified is the one linked to the selected Pricing method, or the currency of the company if the pricing method is not specified or linked to a currency. The help list displays currencies currently valid. |
Assignment of the quotation |
Select the assignment type of the quotation and specify the assignment if needed:
When the Entity is specified in the quotation header, the Project help list only displays projects linked to the specified Entity. Note Only projects/phases/sub-phases whose status code allows the Unsigned quotation object type can be specified. |
3 | Specify the information of the Custom data section. |
By default, no custom data is visible in the Custom data section. To add custom data to the section:

On the left, the list displays custom data available to be added as shortcuts. On the right, the list displays custom data added as shortcuts. - Drag and drop a custom data from one list to the other to add it as a shortcut or remove if from shortcuts. To add or remove all custom data at once, click on the

icon.

By default, no fields are visible in the General information section. To add fields to the section:

The quotation is created. At the top of the screen, the quotation is in the Draft state.

An existing quotation can be duplicated in order to quickly create a new quotation in the Draft state. Duplication can be done regardless of the state the quotation is in.

The quotation is duplicated. The new quotation is in the Draft state.

Views are available on the left of the quotation record sheet.

Click on Tree structure from the Views to display the Tree structure pane in order to manage the tree structure of the quotation.
For more information about managing the tree structure of the quotation, refer to Managing the Tree structure of a quotation.

Click on Table from the Views to display quotation lines in a table, regardless of titles.
In that view, the Tree structure pane is not shown.
Tip
The Flat levels and Tree structure levels columns both display the path of the line in the tree structure. However, the behavior of the categorization is different:
- Flat levels shows one category for each full path of the lines.
- Tree structure levels shows one category for each title level. Lines located at the root of the quotation are not displayed in any category. Empty categories are not displayed. It is not possible to use
> Expand all and Collapse all in that categorization.

Click on Header from the Views to display header information and the left pane that contains the following information:
- General information;
- Chorus information;
- Linked documents;
- Custom data.

Click on Header from the Views to display header information and the pane that is used to manage various information about the quotation (general information, Chorus, linked documents, etc.).
Important
In order to modify a validated quotation, the DC_MAJ_VALID
or MAJ_PIECE_VALID
management rule must be enabled and the connected user must have the DMF 020213 SALES QUOTATIONS MODIFY VALIDATED QUOTATION.

The Header view is used to access and modify the following information:

The main Customer and the Customer to be billed are specified when creating the quotation (see Creating a quotation). The main Customer can only be modified when the quotation is a draft. To modify the Customer to be billed, refer to Modifying the customer to bill. The customers' color indicators are displayed. Click on |
Object label | The label of the object is specified when creating the quotation (see Creating a quotation). |
Object date | The date of the object is specified when creating the quotation (see Creating a quotation). |

Exchange rate between the company currency and the object currency. The field cannot be modified and is calculated from the selected Currency. |
Assignment type and, if applicable, project/phase/sub-phase of the quotation |
Assignment information are specified when creating the quotation (see Creating a quotation). Note If the quotation is in the Draft or Validated state, only projects/phases/sub-phases whose status code allows the Unsigned quotation object type can be specified. If the quotation is in the Signed or Order not signed state, only projects/phases/sub-phases whose status code allows the Signed quotation and unsigned quotation processed as orders and Unsigned quotation object type can be specified. |
Text on object |
Text of the quotation. This free-form field is used to indicate additional information to the customer. Tip In the Text on object, you can insert a table text (refer to Table texts). |

From the pane of the Header view of a quotation, the General information section is used to add shortcuts of fields corresponding to the general information of the quotation in order to quickly access them. From that section, a window can be opened to access all general information of the quotation.
Shortcuts of general information
Click on on the right of the General information section from the pane in order to set up the fields to add as shortcuts. Those shortcuts are specific to each user. From the setup window:
- On the left, the list contains fields available to be added as shortcuts.
- On the right, the list contains fields added as shortcuts. Select a field from the list then drag and drop it to modify the order of the fields.
Drag and drop a field from one list to the other to add it as a shortcut or to remove it from shortcuts. Click on the or
icons to add or remove all fields at once.
Click on Apply to take into account the modifications.
All general information
Click on to display all fields corresponding to the general information of the object in a dedicated window.
Modify the desired information then click on Validate.
List of fields
The following information can be modified in the General information section:

Probability and Weighted coef. |
Probability of a signature from the customer. The Weighted coef. is updated automatically based on the selected Probability. The coefficient is based on a scale of 0 to 1: 0 corresponding to an unlikely signature and 1 corresponding to a likely signature. Manager |
Manager of the quotation. This field is used to define the approver corresponding to the Object's company manager in the approvals setup of quotations. The help list displays non-generic employees present at the company on the date of the quotation. |

Sales manager and technical manager of the quotation. The help lists display non-generic employees at the company of the quotation and present on the date of the quotation. This information is only for informational purposes. |
Expected signature date | Date of the expected signature by the customer. |
Commission rate |
Commission rate of the salesperson in charge of the quotation. This information is only for informational purposes. |

Important
This section is only displayed if the CHORUS
application control is enabled.
Form the pane of the Header view of a quotation, the Chorus section contains the fields related to the interface with Chorus PRO:

From the pane of the Header view of a quotation, the Linked documents section contains the documents linked to the quotation, for example a report or a link to a help desk issue. Click on the name of the document to open its preview, or hover over the name of a document to display its details (creation date, last modification date, users who created and last modified the document, etc.).
To add a document:
- Click on the Add document / URL frame then select the document from the file browser.
- Drag and drop the document in the Add document / URL frame. This feature requires the DMF 100107 OFFICE AUTOMATION WRITE NEW DOCUMENT (OR DRAG&DROP).
Quick actions available from the Linked documents
When a document is added to an quotation, the following features are available from on the right of the document:
From the Linked documents section, you can realize several actions:
- To download a document, click on
then on Download. This action allows you to download the document on the computer. This option is only available if the document is not a hypertext link. The document can also be downloaded directly by clicking on the name of the document if it is not an image, a PDF or a hypertext link.
- To open a link, click on
then on Open link. This action allows you to open a hypertext link in a new tab. This option is only available if the document is a hypertext link.
- To unlink a document, click on
then on Unlink. This action allows you to remove the document from the quotation. The document is no longer linked to the quotation but the document record sheet associated is kept in Akuiteo.
- To delete a document, click on
then on Delete. The document record sheet associated is also deleted from Akuiteo.
Actions available from the Show details function
When a document is added to an issue, the Show details function is accessible under the list of documents linked to the quotation. The table which opens allows you to obtain more information on the document and the following actions are available in the Actions column:
- To visualize a document, click on
. This action allows you to visualize a document before downloading it on the computer. This option is only available if the document is an image, a .txt file or a PDF document.
- To download a document, click on
. This action allows you to download the document on the computer. This option is only available if the document is not a hypertext link. The document can also be downloaded directly by clicking on the name of the document if it is not an image, a PDF or a hypertext link.
- To open a link, click on
; This action allows you to open the URL in a new tab in the browser. This option is only available if the document is a hypertext link.
- To delete a document, click on
then on Delete document. This action allows you to delete the document. The document record sheet associated is also deleted from Akuiteo.
- To lock or unlock a document, click on
then on Lock/Unlock. This action allows you to lock or unlock a document. This option is only available if the document is not a hypertext link. When a document is locked, the
icon is displayed on the document record sheet in the Desktop Application.
- To file a document, click on
then on Filed under. This action allows you to specify one or several keywords linked to the document. From the documents search screen (Desktop Application > Tools > Documents), a user can specify the keywords in the Filed under field in order to easily find the relevant document.
- To archive or de-archive a document, click on
then on Archive/De-archive. This action allows you to archive or de-archive the document.

From the pane of the Header view of the quotation, the Custom data section is used to display custom data added as shortcuts in order to access them quickly. From this section, a window can be opened to access all custom data set up for sales management objects.

Custom data as shortcuts
Click on on the right of the Custom data section from the context panel to set up the data to display as shortcuts. Those shortcuts are specific to each user. From the setup window:
- On the left, the list displays custom data available to be added as shortcuts.
- On the right, the list displays custom data added as shortcuts. Select a data from the list then drag and drop it to modify the order of data.
Drag and drop a data from one list to the other to add it as a shortcut or to remove it from shortcuts. Click on the or
icons to add or remove all data at once.
Click on Apply to take into account the modifications.
All custom data
Click on to display all custom data of issues in a dedicated window. Depending on data setup, the window contains one or more tabs/sections/fields.
Modify the desired data then click on Validate.

- Order address to specify the site that places the order. The help list displays the order sites of the main customer and customer to bill.

- Billing address to specify the site that will be billed. The help list displays the billing sites of the main customer and customer to bill.
When a site is specified, the information associated (address, city, etc.) are displayed below the Site name.

The sites of the quotation are specified.

Prerequisites: On-going modifications on the quotation must be saved.
Contacts can be defined as recipients of a quotation so that they are specified by default as recipients or as cc on the window used to send the quotation by email (see Sending an email).
Note
When creating the quotation, a contact is added automatically as recipient of the quotation when they meet the following conditions:
- The contact is present at the main customer on the date of the quotation;
- The contact is defined as a recipient of quotations from their contact record sheet.

Example I created a quotation that was turned into an order then billed on April 15th. I specified the following payment terms:
Based on the No. of days specified, the end of the payment period is on June 14th. However, the Condition being End of month, the payment due date is postponed until the last day of June, which is June 30th. |
As of |
If the Condition is Fixed, specify this field if you want to force the payment due date to a fixed day of the month. Leave the field empty if you want the payment due date to be at the end of the number of days specified in the No. of days field. Example I created a quotation that was turned into an order then billed on April 15th. I specified the following payment terms:
Based on the No. of days specified, the end of the payment period is on May 31st. However, the Condition being Fixed, the payment due date is postponed until the day of the month specified in the As of field. Therefore, the payment due date is on the June 20th. |

The payment terms are modified.

Prerequisites: On-going modifications on the quotation must be saved.
The customer to bill cannot be modified directly from the Customer to be billed field in the header. Modifying it is only possible through a dedicated feature.

- Validate to validate without opening the window used to modify addresses.
- Validate and check addresses to validate then open the window used to modify addresses (see Modifying the sites of a quotation).
The customer to bill is modified.
Note
The billing site of the quotation is replace automatically by the default billing site of the new customer to bill.
If the former customer to bill is different from the main customer, the order and delivery sites are replaced by the default sites of the main customer. If there are no default sites at the main customer, the order and delivery sites are emptied.

If approvals are set up for quotations, the quotation must be approved by the approvers set up beforehand in order to validate the quotation. The quotation must then follow the approval process defined in the approvals setup. In that case, the employee must ask approvers to approve the quotation.

When you are an approver of a quotation, you can approve or deny the quotation.

The quotation is approved or denied.
As long as the quotation is not validated, you can remove your approval or denial by clicking on . It requires the 061813 PROJECT APPROVALS RESET APPROVALS DMF.
Description of approvals display
At the top of the quotation, a summary of approvals is displayed.
The initials or the picture of each approver are displayed.
An icon next to the initials or the picture shows whether the relevant approver has approved or denied the quotation:

if the approver has approved.

if the approver has denied.
By hovering over the approver, the date, time and comment of the approval or denial are displayed in a tooltip.

061813 PROJECT APPROVALS RESET APPROVALS |
Prerequisite:
- either pending approval;
- or approved and non-validated;
- or denied.
Approvals of a quotation can be reset in order to cancel approvals and denials given on the quotation. This action can be useful when a modification has been brought to the quotation and calls into question the approvals already received.
From the quotation, click on at the top of the screen then on Reset approvals.
Note
When a quotation that is pending approval/denied/approved non-validated is modified, a window proposes to reset approvals when saving:
- Click on Yes to reset approvals.
- Click on No to keep approvals as they are.

Validating a quotation is required before turning the quotation into an order.
Prerequisites:
- The quotation must be in the Draft state.
- If approvals are set up for quotations and the quotation is approvable, the quotation must be approved.
- On-going modifications on the quotation must be saved.
1 | At the top of the quotation, click on Validate. |

- Validate if you want to validate the quotation without publishing it.
- Validate and publish if you want to validate the quotation and publish it. Then select the desired report template and format and confirm.
The quotation goes into Validated state.

Prerequisites: On-going modifications on the quotation must be saved.

Prerequisite: The quotation must be in the Validated state.
Reviewing a quotation allows you to create a more recent version of a validated quotation in order to make modifications, for example to take into account a request from the customer. In that case, the former quotation becomes obsolete and goes into the Reviewed state.

The new quotation opens in the Draft state. The former quotation goes into the Reviewed state.

Prerequisites:
- The quotation must be in the Validated, Signed or Order not signed state.
- On-going modifications on the quotation must be saved.
A validated quotation cannot be deleted. It can nonetheless be archived in order to indicate that the quotation is no longer up to date, for example if the customer did not follow up on the quotation.

If lines have been defined as non-publishable, those lines will not be displayed in the published document (see Define lines as non-publishable).

Bcc |
Used to define the bcc recipients of the email. This field is visible only when the Show details option is enabled. Enter the first characters of the employee or the desired contact. Employees and contacts matching the search are displayed directly. Select the desired recipient. Add as many employees or contacts as necessary. If the recipient does not exist in Akuiteo, enter the email address directly. Tip Press F2 from the field to open the list of all existing employees and contacts. |
Reply to |
Allows you to define recipients in case of reply to the email sent with this feature. This field is only displayed if the recipients details is shown. By default, if the recipients reply to the message, the email address of the connected user will be used. If you want the reply to be sent to other recipients, add one or more employees or contacts, or enter the email addresses directly. |
Template |

Enter the email subject. By default, the number and date of the quotation are specified but you can modify the subject if needed. |

Enter the message body. A note indicating the name of the sender is inserted automatically in the email body so that the recipient knows the sender of the email. |

The email is sent to the specified recipients.

Prerequisites: On-going modifications on the quotation must be saved.
From the quotation, click on at the top right then on History to access the Modifications history screen.
The table displays each modification made on the quotation, with one line per modification.
The Type column indicates you if the modification line comes from the history overview or detailed history. For the quotations, the history overview is the only one available. The detailed history containing values before and after modification is not available.
A quick search field is available above the history table. The search starts as soon as one character is typed and the results are filtered automatically.
The table display can be configured to suit the exact needs of every user. The setup options are available on the right of the search field from the icon. For more information, refer to Setting up results in table view.

Important
Deleting a quotation cannot be reversed.
Prerequisites:
- The quotation must be in the Draft state.
- On-going modifications on the quotation must be saved.
At the top right of the quotation, click on then on Delete and confirm the deletion.
