Services
Akuiteo enables you to bill some services carried out (for example a pay slip or a final settlement) by tracking the produced quantities on a service as well as the employees' timesheet entries. The produced quantities are then used for billing the customer, depending on the service quotation in which the unit sales price is defined.
Services are specified from a specific type of quotation, a service quotation. A service quotation must have an actual signature date in order to be active and be used to input services, until it is archived and can therefore no longer be used. The quantity is not specified in the quotation, because the actual quantity is specified directly in each service.

Once a service is specified by an employee, it is sent for validation to the manager. The employee can modify the service at any time, as long as it has not been validated or denied by the manager.

Services are managed from the Services menu in the Employee module.

The Services menu enables you to access the list of non-validated services from the connected employee and for the filtered period.
The period displayed by default is the current month. This period can be modified from the screen's header by clicking on the Period from ... to ... date fields. In this case, the period specified is kept every time you access the menu, until the Web Portal's tab is closed. Click on to take into account the new period specified.
By default, only non-validated services are displayed but it is also possible to display validated or denied services by clicking on the filter icon:
- If the icon is
, only non-validated services are displayed.
- If the icon is
, all services are displayed, and also the validated or denied services
From the search field , fill in the searched keywords then press the Enter key to start the search and only display the matching services. The search only applies to the services displayed on the screen.

Services can be specified:

Select the billing date of the service. The current date is filled in by default. |

Specify the first letters of the desired customer. The help list is displayed automatically with the relevant customers. Select the desired customer from the help list. |

Select the linked service quotation from the help list. The quotations available are the active service quotations created from the Desktop Application. |

Select the service from the help list. The services available are the lines specified in the selected quotation. |

The assignment defined in the selected service line is automatically filled in. |

If you have the DMF 192002, the unit price of the service line is displayed and can be modified if you have the DMF 192003. Specify the actual quantity of the selected service in the |

Specify a comment if needed. By default, the service's label is filled in. This comment is used when billing services, in the second comment field of the invoice lines. |

Specify the duration to automatically create a timesheet entry from the service information. Note To be able to automatically generate timesheet entries when specifying services:
If the field is left empty, no timesheet entry will be created with the service. |

A non-validated service line is created and displayed in the Services menu. If a duration was specified, a timesheet block is also created in the calendar for the date specified. The service is directly sent for validation to the relevant manager. The employee can modify the service at any time, as long as it has not been validated or denied by the manager.

An existing service can be duplicated to quickly create a new service. It is possible to duplicate non-validated as well as validated or denied services.
To duplicate a service, click on for the desired line from the Services menu. Modify the desired information in the time window then click Validate to create the new service.

Note
A service can no longer be modified once it has been validated or denied by the manager.
To modify a non-validated service, click on for the desired line from the Services menu. Modify the desired information then click on Validate to take it into account.
Modifying a service also modifies the timesheet entry linked to this service, and vice versa.

Prerequisite: At least one Service type report template must be set up.

2 | Depending on the setup of the report template, a window can open. Specify the printing parameters and click on Download. |
The services are published and saved on your computer.

Important
Deleting a service cannot be reversed.
Note
A service can no longer be deleted once it has been validated or denied by the manager.
To delete a non-validated service, click on for the desired line from the Services menu then confirm the deletion.
