Contacts, prospects and customers
To carry out their job, sales people need an address book that gathers all prospects and customers, as well as the associated contacts. Sales people can therefore create new prospects when needed, search in the address book to find a customer, prospect or contact, and view the different record sheets to find the information needed.
The prospects and contacts can be created directly from the portal. However, customers must be created from the Desktop Application.
Contacts, prospects and customers can be accessed from the Organisations & Contacts menu in the CRM module. It is also possible to access customer and prospect record sheets from the Opportunities menu.

The Organisations & Contacts menu is used to search through all existing contacts, prospects and customers.
In the search field, fill in the first letters of the desired name. The contacts, prospects and customers that match the search are directly displayed in the drop-down list. Select the desired contact, prospect or customer to open the relevant record sheet.

The Organisations & Contacts menu is used to search for contacts, prospects and customers, and to open the relevant record sheets directly from the search results.
To open a record sheet, you can also:
- Click on the prospect's or customer's name in the opportunity pipeline or the signature schedule from the Opportunities menu.
- Click on the contact's name in the Contacts tab of an opportunity, a customer or a prospect record sheet.

If the SIRENE API is configured, fill in the SIRET or SIREN number in the SIREN/SIRET field (Marketing tab in the field library). Then click on to automatically specify the following fields from the SIRET or SIREN number: the call name, the API code, the full address (SIRET only) and the SIREN number (only if the SIRET number was already specified).

The prospect is created and the Draft prospect indication is displayed. To validate the prospect, refer to Validating a draft prospect.

The contact is created.
Note
When a phone number is entered in the Direct line field and/or an email address is entered in the Email field, the contact can be called or emailed quickly by hovering over the header then by clicking on:

to call the contact's number with a phone application on the computer;
-
to open the default mail application on the computer by creating a draft and entering automatically the contact's email address as the recipient.

In a contact, prospect or customer record sheet, the related information is displayed in the left column. Modify the necessary values then click Save in the bottom banner.

If the SIRENE API is configured, the SIRET/SIREN number can be modified with the API in Actions > Updating by SIRENE API.
Important
Only empty fields can be specified by the SIRENE API. Fields already specified will not be modified.

The prospect is validated. The Validated prospect indication is displayed in the header.

Adding actions
Actions can be added to a contact, prospect or customer:
- From the Actions tab of an opportunity record sheet, using the first frame in the left column to add actions.
- From an opportunity record sheet by clicking on
on the screen's right.

Adding documents
Documents can be added from a contact, prospect or customer record sheet:
- By clicking on
on the screen's right.
- From the Documents tab by clicking on the Upload document frame.
- By dragging and dropping the document in the Add document frame.
The documents added are displayed in the Documents tab of the contact, prospect or customer record sheet.
To open a document, click on it to download it.
To remove a document, click on then Delete.

A business link is used to link a customer or prospect to another customer or prospect. There are 2 business links that affect Akuiteo functionally:
- The ordering customer / customer to bill business link. It is used to select a customer to bill different from the main customer on sales objects.
Example
Customer A places an order that will be billed to its partner, Customer B. In that configuration, Customer A is the ordering customer and Customer B is the customer to bill.
On Customer A's record sheet, I then create the following business link:
- Link type with the code
DONORDRE
for Customer A; - Link type with the code
CL_A_FACT
for Customer B;
On the order placed by Customer A, I will then be able to select Customer B as the customer to bill.
- The ordering customer / delivery site business link. It is used to select a delivery site at a customer different from the customer on the quotation.
Example
Customer A places an order that will be delivered to its partner, Customer B. In that configuration, Customer A is the ordering customer and Customer B is the delivery site.
On Customer A's record sheet, I then create the following business link:
- Link type with the code
DONORDRE
for Customer A; - Link type with the code
SITE_LIV
for Customer B;
On the order placed by Customer A, I will then be able to select a delivery site at Customer B.
Important
A business link must always contain a link type with the code DONORDRE
.

An affiliation link is used to link two third-parties (prospects, customers, suppliers, other third-parties) to each other when they are part of the same organization (ex: parent company/subsidiary or headquarters/agency). Depending on the setup, link types can contain a direction (bottom-up, top-down, or transversal) in order to indicate the hierarchy between the linked third-parties. Affiliation links are created for informational purposes depending on the needs and do no affect Akuiteo functionally. However, they can be used as search criteria for analytical purposes, for example on the sales dashboard or the analytical progress report in the Desktop Application.

Note
On the header of a link type block, the arrow indicates the direction of the link:

if the link type is ascending;

if the link type is descending;

if the link type is transversal.

Prerequisite: At least one Customer/Prospect record report template must be set up.

2 | Select the printing Template in the drop-down list, then choose the printing format. |
The formats available depend on the report templates set up from the Desktop Application.
3 | Check the Link document box if you want to add the report to the linked documents. |

The third-party record sheet is published and saved on your computer.

Important
Deleting a contact, a customer or a prospect cannot be reversed.
From the contact, prospect or customer record sheet, click on Actions in the header, then click Delete and confirm the deletion.
