General accounts

070702 ACCOUNTING SETUP ACCOUNTS

Akuiteo allows you to manage your accounting. General accounts must be set up correctly in order to avoid mistakes when closing an accounting period. Akuiteo manage the charts of account per accounting period. We recommend you to setup these accounts first.
This setup is available from Tools > Setup > General setup > Accounting > General accounts.
Creating a general account

Under the Identity section, specify the following fields: |
Number |
Specify the number of the general account. |
Label |
Specify the title of the general account. |
Accounting period |
Specify the relevant accounting period. |
Budget section |
Free field. |

Under the Type section, check the relevant type(s) for the general account: |
Group
|
Designed for the operations between two companies. This box has an impact on the help lists of some setups in Akuiteo (e.g. for the sold items).
When this box is checked, the Interco required box is automatically checked. It is possible to uncheck it.
|
Internal
|
Designed for the internal operations of a company. This box has an impact on the help lists of some setups in Akuiteo (e.g. for the sold items). |
Project not required
|
This box cannot be checked for the class 6 or 7 accounts. |
Manual entry prohibited
|
This box allows you to prohibit manual entries on the account. |
Interco required
|
Check this box so the Interco code is required on the banking movement. |
Customer / Supplier / Other reconciliation account
|
Essential indicator to update, for example, the reconciliation account on a customer record sheet. When the Customer reconciliation account box is checked, the Compensate control account box can be checked. Be careful, this action has consequences on the appearance of the balance at the end of the accounting period. |
Matchable
|
Check this box in order to make the general account available in the help list of the manual matching. When retrieving the carry forwards in the accounting period N+1, the account will be detailed by unmatched entries. This box is only for the class 1 to 5 accounts.
When this box is checked, the Details option of the Carry-forward parameters is selected.

- Storable
|

Account that can be included in DAS2: This box allows Akuiteo to automatically calculate the amount to declare. Only the accounts with this box checked are taken into account.

Payroll / Unprinted / Storable: Specific indicators without consequences in Akuiteo.

Balance revaluation
|
Check this box to allow one to input invoices and payments in currency and calculate the currency loss or gain. |
Capital assets
|
Account for the fixed assets When this box is checked, the Fixed asset section is displayed. |
VAT
|
This box allows you to define the account as a VAT account. |
Banking
|
This box allows you to define the account as a banking account. |
Subscription
|
This box allows you to define the account as a subscription account. For now, this feature is not used in Akuiteo. |
Down payment- Customer
- Supplier
- Personal
- Other
|
Theses boxes do not have any consequences in Akuiteo. However, these boxes can have consequences when analyzing the down payments (Accounting > Periodic works > FA or Management consistency > Down payments analysis) which allows you to deal with the accounts related to Suppliers down payments and Customers down payments. |
Balance
|
This box allows you to define the account as a balance account. |
Result

This box allows you to define the account as a result account. |

Under the Carry-forward parameters, select the parameter to apply for the carry-forward: |

Select this parameter to view only one line for the carry-forward. |
Balance per document |
Select this parameter to view the balance per management object. |
Balance per project |
Select this parameter to view the balance per project. |

Details |
Select this parameter to view the unmatched entries details.
Cash: balance of reconciled entries + unreconciled entry details

It is recommended to check the Balance or Details box.
When the Matchable box is checked, the carry-forward is in Details.

Under the Analytical classification, specify the information for an external accounting. You can specify the keywords that you want. The family and sub-family fields are taken into account when creating an miscellaneous transaction. It is free fields that can be used for accounting editions. |

Select the VAT account collected on the invoices and credit notes to establish from the help list. |
"Unearned income" account
|
Select the account for the unearned income from the help list. |
"Supplier - Receivable invoices" account

Select the account for the suppliers - receivable invoices from the help list. |
"Supplier - Receivable credit notes" account

VAT recoverable on receivable invoices and credit notes

Select the VAT recoverable on receivable invoices and credit notes account from the help list. |
"Inventory and WIP" account

Select the account for inventory and WIP from the help list. |
Inventory: write-down of work in progress
|
Select the account for the inventory write-down of work in progress from the help list. |
Expenses: write-down of work in progress
|
Select the account for the expenses write-down of work in progress from the help list. |
Expenses: reversal of the write-down of work in progress

"Prepaid expenses" account

Under the Automatic tax line for miscellaneous transaction entries, fill in the information: |
Automatic tax line for miscellaneous transaction entries

Check this box if you want to enable the automatic tax line when entering a manual entry. If the box is unchecked, tax lines will not be generated automatically for the account. |
Tax code by default
|
You can only fill this field if you have checked Automatic tax line for miscellaneous transaction entries. This field is not required. Fill in the tax code specified by default when an entry line is entered for this account. |

Under the Usable in section, enter the information: |
Sales objects
|
Check this box to find this account in the Sales module. When this box is checked, the account can be specified on the item record sheet (Management > Sales > Sold items > General tab > FA account section). |
Purchase objects
|
Check this box to find this account in the purchase module. When this box is checked, the account can be specified on the item record sheet (Management > Purchases > Purchased items > General tab > FA account section). |
Distribution of costs center
|
This option allows you to identify the accounts to take into account in the cost centers to profit centers module. |

Under the Fixed assets section, specify the information: |
Ongoing fixed assets recognition account
|
Specify the ongoing fixed assets recognition account number (account 231). |
Amortization account
|
Specify the amortization account number (account 28). |
Amortization allocation account
|
Specify the amortization allocation account (account 631). |
NPV of transferred assets
|
Specify the NPV of transferred assets account number (account 675). |

Under the Scrapping section, specify the information: |
Exceptional amortization allocation account
|
Specify the exceptional amortization allocation account number (account 687). |
Modify multiple general accounts
To modify multiple general account from the search results:

Select the accounts to modify then right-click and select Modify by batch. |
The Change accounts in batches window opens.

In the left column select the current type of the accounts to modify. |
|

In the right column, select the new type of account to apply. |
|

|
Click on Validate to take into account the modification. |
The selected accounts are updated.
Close a general account

Select the general account to close and start a search. |

Open the account to close and click on in the header of the screen. |
The general account is closed.
Note
When you close an account, it is automatically removed from help lists. It can no longer be linked to new objects. However, the existing management objects will not be deleted.
